A good client meeting starts before anyone sits down. Clear directions, a tested presentation and a comfortable room let you focus on the conversation instead of solving avoidable problems.
Whether you are presenting a proposal or welcoming a new client, use this checklist to prepare.
Start with the result you want
Write one sentence describing the meeting’s purpose. Are you gathering requirements, reviewing a proposal or agreeing on next steps?
Send a short agenda in advance, along with the expected finish time. Tell attendees whether they need to review or bring anything.
Choose the room around the conversation
Confirm the number of guests and how you will use the space. Everyone should be able to see the presentation and speak comfortably.
Check seating, accessibility, lighting and power access. Ask about the room’s privacy; do not assume conversations cannot be heard outside.

Test your own presentation setup
Bring the laptop, charger and adapters you intend to use. Confirm the available display connection rather than assuming every room supports your device.
Open the presentation before guests arrive. Keep an offline copy when practical, and close unrelated windows or notifications before sharing your screen.
Make arrival easy
Send the exact address, parking instructions, entrance details and a contact number. Include the room name or clear meeting-point instructions when applicable.
Build setup and cleanup time into your reservation. Ask about early access instead of assuming you can enter before the booking starts.
Prepare for a confidential conversation
Bring only the documents needed for the meeting. Avoid leaving client information visible to other visitors, and check that no confidential material remains on a shared whiteboard.
